Item Batches

Batch tracking lets you track items by lot or batch number. This is useful for traceability, expiry management, and compliance. When enabled for an item, each batch can have a manufacturing date, expiry date, and quantity.

What is Batch Tracking?

Batch tracking associates stock with a specific lot or batch number. For example, a pharmaceutical item might have batches like "BATCH-2024-001" with a manufacturing date and expiry date. When you sell or consume the item, you can specify which batch was used. This supports recall management, FIFO/FEFO (First Expiry First Out), and regulatory requirements.

How to Enable Batch Tracking for an Item

Edit the item in your item catalog. Enable the "Track by Batch" or "Batch Tracking" option. Once enabled, stock for that item must be received or produced with a batch number.

How to Create a Batch

Open Batches
Go to Item Batches (or Batches) in the ERP menu. Click "Create Batch" or "Add".
Select Item and Enter Details
Choose the item (must have batch tracking enabled). Enter or auto-generate the batch number. Optionally add manufacturing date and expiry date.
Save
Save the batch. Stock is added to the batch when you receive via purchase bills or record production with batch assignment.

Batch Form Fields

Field Description
Item Required The item this batch belongs to. Must have batch tracking enabled.
Batch Number Required / Auto Unique identifier for the batch. Can be auto-generated or entered manually.
Manufacturing Date Optional Date the batch was manufactured.
Expiry Date Optional Date after which the batch expires. Used for FEFO and alerts.
Notes Optional Additional batch information.

How Batches are Used in Production and Stock

When recording production for batch-tracked items, you assign or create a batch. The finished goods are added to that batch. When selling or transferring batch-tracked items, you select which batch to use (e.g., FIFO or FEFO). Stock balance reports can show quantity by batch.
